Department: Administration

Reporting to: Contract Manager

Location: East Midlands

To provide administration support to the Contract Manager, SMT and colleagues to enable the effective running of the contract and office.

Key Responsibilities:

  • Ensure all submitted paperwork is to audit standard

  • Assist with reconciliation of data and archiving activity

  • Assist with coordination of partner delivery activity

  • Assist in the maintenance of administration systems for the processing of Participant and programme information as required by funding bodies, awarding bodies and Company standards

  • Ensure all duties are carried out within required timescales

  • Assist in monitoring and improving the quality of information held within Participants’ records and ensure these are kept up to date

  • Actively liaise and share good practices with administrative staff throughout the Company

  • Contribute to the monitoring of the quality of the administration systems and support continuous improvement

  • Cover the reception area and direct participants and visitors to the correct person or area

  • Answer telephone enquiries or redirect/take messages as appropriate

  • Preparation of internal documentation and letters and other communications to participants, customers and external bodies, and photocopying as required

  • Assist in ensuring that supplies of stationery are maintained within the centre

  • Promote a positive image of the Company and all of the services it delivers

  • Actively contribute to a professional and welcoming environment within the centre

  • Any other duties as appropriate set by line manager

 

Experience and Skills:

  • Must have excellent and professional telephone manner

  • Strong organisational skills

  • Ability to prioritise workload effectively

  • Excellent written and verbal communication

  • Ability to work under pressure

  • Strong communication skills

  • A keen eye for detail. i.e. spotting mistakes and problem-solving

  • Proficient in Microsoft Office
